A good voicemail greeting does three things: confirms the caller has reached the right business (name and trade), explains why you can't answer right now, and tells them exactly what to do next — leave a message, send a text, or call back at a specific time. Keep it under 20 seconds for a short greeting and under 40 seconds for a standard one. Speak slowly and clearly, especially when saying your callback number. Avoid background noise and record somewhere quiet.
Different trades have different needs. A plumber's voicemail needs to signal emergency availability — or clearly state hours when they're not available for emergencies. An electrician may want to emphasise their qualifications (Part P, NICEIC registered). A cleaning company should sound warm and professional. A tradesperson who covers multiple services should say so — callers often call back when they realise you cover more than they thought. Once you have your script: find a quiet room with no echo (a wardrobe with clothes works well). Read the script out loud twice before recording to get comfortable with it. Speak at 80% of your normal pace — it always sounds faster on playback than it feels. Smile slightly while you speak — it changes the tone of your voice and sounds more welcoming. Record 2–3 takes and listen back on the same phone your callers will hear it on. Re-record if the background noise is noticeable or if you stumble on any words.
