A good trade quote is clear, specific, and leaves no room for disputes later. It should itemise labour and materials separately, state a validity period (14–30 days is standard), include your payment terms and deposit requirements, and be sent promptly — customers who receive a quote within a few hours of enquiring are far more likely to accept it than those who wait days.
Start with the customer's name, address, and the date. Describe the work clearly — not "plumbing works" but "replace failed stopcock and repair leak under kitchen sink." List parts and labour separately with quantities and unit costs. Add your VAT number if registered. Include a total, your payment terms (deposit, balance on completion, or net 14/30), and a validity date. Sign it off with your name and contact details.
Fixed-price quotes need extra detail to protect you if the scope changes. Include a clear scope of works section describing what's included and, crucially, what's excluded. Add a variation clause — something like "any additional works agreed on site will be charged at £X/hour plus materials." State who supplies materials, what the access requirements are, and what happens if unforeseen issues arise (e.g. hidden rot, asbestos). This protects both parties and sets clear expectations before work begins.
